Position Summary

The Town of White City is seeking a motivated temporary Sport and Facility Coordinator to provide critical support for facility, sport field and park bookings, and summer events. This primarily office role ensures continuity of operations during the summer months, filling a temporary staffing gap and supporting the Parks, Recreation and Culture team during the peak season. This position is ideal for a summer student but open to all qualified candidates.

 

Key Duties and Responsibilities:

  • Slo-Pitch League Operations
    • Develop and manage schedules for an 8-team league, coordinating all games and ensuring smooth operations
    • Communicate proactively with teams, officials, and volunteers
    • Enforce league rules and safety protocols consistently
    • Plan and organize a year-end tournament to celebrate the season
  • Ball Diamond Bookings
    • Coordinate the use of ball diamonds for community groups and teams
    • Monitor schedules to ensure proper field setup and timely communication with users
    • Address and resolve conflicts or scheduling issues efficiently
  • Sport Field and Park Bookings
    • Manage field use and park permits for community groups and sports teams
    • Ensure optimal utilization of fields while maintaining fairness and safety
    • Maintain clear and consistent communication with coaches and organizers
  • Community Centre Bookings
    • Manage bookings for regular programs and special events
    • Liaise with clients to confirm event details, process payments, and coordinate setup requirements
  • PRC Events and Programs
    • Provide hands-on operational support for four major summer events, including Summer Sizzle (Saturday, June 6) and Movie in the Park (Thursday, August 27). Additional support will be required for Emerald Ridge Sport Field Grand Opening and the Council BBQ, with dates to be confirmed in June and July.
    • Assist with setup, coordination, and volunteer management; must be available on event dates
    • Respond to on-site issues and adapt to changes as needed
  • Additional Operational Tasks
    • Support the Parks, Recreation and Culture team with ad hoc projects (e.g., program support, reporting)
    • Maintain consistent communication with management regarding scheduling, operations, and program update
    • Contribute to a safe, organized, and welcoming environment for all participants

Required Knowledge, Skills, and Abilities:

Education and Experience:

  • High school diploma or equivalent required; working towards some post-secondary education in Recreation, Leisure, or a related field is an asset
  • Previous experience in recreation program coordination, sports league management, or facility bookings is preferred but not required.
  • Experience in customer service, event coordination, or working with community groups is considered an asset
  • Familiarity with scheduling systems or basic office applications (e.g., MS Office) is an advantage

Working Conditions:

  • Monday to Friday: 8:00 AM – 5:00 PM, with a one-hour lunch break.
  • Program runs from July 6 to August 21, 2026, and applicants must be available for the full duration.
  • Planning hours are required from June 29 to July 2, with a maximum of 12 hours to be scheduled based on availability.

Salary:

  • Temporary, full-time position during summer months (Mid-April – End of August)

  • Fast-paced environment during peak season, with periods of high activity
  • Flexible hours required, including some evenings and weekends to accommodate events and program needs
  • May involve light lifting and setup of event materials during events
