Position Summary |
The Town of White City is seeking a highly organized and customer-focused Sport and Facility Coordinator to oversee the administration of facility, sport field, park, and recreation bookings while supporting the delivery of programs, events, and community initiatives. Reporting to the Manager of Parks, Recreation and Culture, this position serves as the primary point of contact for facility rentals and sport bookings, ensuring exceptional customer service, efficient scheduling, and strong relationships with user groups. The Coordinator also provides operational and administrative support for departmental projects, community partnerships, special events, recreation programming, and policy development. This position requires exceptional organizational skills, the ability to manage multiple priorities, and a commitment to providing outstanding service to residents, community organizations, and user groups. |
Key Duties and Responsibilities:
- Facility and Booking Administration
- Administer all bookings for Town facilities, parks, sport fields, ball diamonds, outdoor recreation amenities, and other recreation spaces.
- Serve as the primary administrator for the Town's park and facility booking process, ensuring booking information is accurate and up to date.
- Maintain facility booking policies, user agreements, operating procedures, and booking manuals, recommending updates to improve customer service and operational efficiency.
- Prepare and administer facility rental agreements, user agreements, invoices, deposits, and permits.
- Coordinate Community Centre rentals, including regular users, private functions, meetings, and special events.
- Respond to public inquiries and provide exceptional customer service regarding facility rentals and booking availability.
- Develop annual field allocation schedules and permits.
- Monitor facility utilization and recommend improvements to maximize efficiency and community access.
- Coordinate facility setup requirements with the appropriate employees.
- Resolve booking conflicts and customer concerns professionally and in a timely manner.
- Develop and maintain booking procedures and continually improve customer service processes.
- Sport Field and League Coordination
- Coordinate all seasonal sport field and ball diamond bookings.
- Administer the Town's slo-pitch league, including:
- Developing league schedules
- Coordinating teams
- Communicating with captains and officials
- Managing league standings
- Enforcing league rules and safety procedures
- Planning and delivering year-end tournaments
- Coordinate field allocation for community organizations and tournaments.
- Monitor field utilization and recommend improvements to maximize usage.
- Work with Public Works regarding field conditions, maintenance requirements, closures, and event preparation
- Recreation Programs and Events
- Assist with the planning, coordination, promotion, and delivery of recreation programs and events.
- Provide operational support for Town celebrations, community events, and special initiatives.
- Assist with event logistics including permits, vendor coordination, equipment rentals, volunteers, and event setup.
- Respond to operational issues during events and recommend solutions.
- Assist in evaluating programs and events through surveys and reporting
- Department Administration
- Prepare reports, statistics, presentations, and correspondence.
- Maintain accurate booking records, databases, and departmental files.
- Collect and analyze recreation participation and facility utilization data for reporting to Administration and Council.
- Assist with operating budget tracking, invoicing, and financial reporting.
- Assist with grant applications, grant reporting, and sponsorship administration.
- Support procurement, inventory management, and capital projects.
- Develop and update departmental policies, procedures, and operating practices.
- Prepare website content, newsletters, promotional materials, and communication updates in collaboration with the Communications department.
- Parks, Recreation and Culture Support
- Assist with public engagement initiatives, surveys, and community consultation processes.
- Support long-range recreation planning and departmental strategic initiatives.
- Build positive relationships with residents, user groups, schools, and community organizations.
- Assist with volunteer recruitment, recognition, and community partnerships.
- Provide administrative and operational support across all Parks, Recreation and Culture services.
- Perform other related duties as assigned.

Education and Experience:
- Diploma or degree in Recreation Administration, Sport Management, Business Administration, Public Administration, or related discipline.
- Significant related experience in recreation, facility operations, sport administration, customer service, municipal government, or a related field may be considered in place of formal education.
- An equivalent combination of education, training, and directly related experience will be considered.
- Experience coordinating facility bookings, recreation programs, community events, or working with community organizations and user groups is considered an asset.
- Experience using recreation booking software, Microsoft Office Suite, and other administrative systems is considered an asset
Working Conditions:
- Temporary, full-time position (anticipated term: one year) with the possibility of extension based on operational needs and organizational requirements.
- Primarily office-based with regular attendance at Town facilities, parks, and community events as required.
- Fast-paced environment with multiple competing priorities, particularly during peak recreation seasons.
- Flexible hours required, including some evenings and weekends to accommodate events and program needs.
